> A plain guide for owners and managers of restaurants, cafés, bars and cloud kitchens. What the system has to do, what to ask a vendor to show you, and what to check before you sign.

**Who it is for:** restaurants, cafés and bars

## What a restaurant system has to do

A restaurant system is used by waiters under pressure, read by the kitchen at a glance and checked by the owner at night. It has to be fast where the guest is, exact where the money is and honest where the stock is. For each area, ask the vendor to show the thing on the right with your own menu.

**What a restaurant POS has to handle**

| Area | What it has to handle | Ask the vendor to show |
|---|---|---|
| Taking orders | Tables, tabs, items with changes such as no onions, courses, split and merged bills and voids. | An order for a table of six, with one guest leaving early and paying for their share. |
| Kitchen and bar | Tickets sent to the right station on a kitchen display or a printer, with statuses and times. | An order reaching the kitchen and the bar at once, and a dish marked ready. |
| Payments | Cash, M-Pesa, cards, tips, split payments and a cash-up at the end of a shift. | A bill paid partly by M-Pesa and partly in cash. |
| Menu and prices | Items, changes, happy hours and prices that differ by outlet. | A price change that takes effect at a time you set. |
| Stock and recipes | Ingredients for each dish, stock taken off as dishes sell, purchases, wastage and counts. | A sale reducing three ingredients, and a stock count that disagrees with it. |
| Staff and control | Roles, who may void or discount, approvals and a log of what was done. | A manager approving a discount, and the log it leaves. |
| Receipts and tax | Receipts that meet the tax invoice rules of the Kenya Revenue Authority. | A real receipt, and how it reaches the authority. |
| Reports | Sales by item, hour, waiter and outlet, voids, discounts and the day's close. | Yesterday's close, ready this morning. |

## What matters for your kind of business

The best POS for a restaurant in Kenya depends on what you run. Look for the column that is yours.

**What matters, by kind of business**

| Business | What matters most | Often not worth paying for |
|---|---|---|
| Café or quick service | Speed at the counter, a short menu, M-Pesa and cards, simple end-of-day reports. | Courses, table plans and a kitchen display. |
| Full-service restaurant | Tables, courses, split bills, a kitchen display and waiters who can use it with one hand. | Features built for a chain. |
| Bar or pub | Tabs, quick rounds, stock sold by the measure and control of discounts. | Recipes with many ingredients. |
| Cloud kitchen or delivery | Online and delivery orders arriving on one screen, kitchen timing and packing. | Table management. |
| Multi-outlet group | One menu and price list, reports for each outlet and for all of them, stock moved between outlets and roles for each. | A system built for a single outlet that you will outgrow. |

## Stock and recipe costing

Stock control is often the reason a restaurant buys a system, and it is easy to use badly. It only works if the recipes in the system are the recipes in the kitchen.

- **Start with the dishes that sell most** and the ingredients that cost most. A full list of every ingredient can come later.
- **Write each recipe once,** with quantities that the cook agrees are real, and let the system take them off the stock as dishes sell.
- **Count regularly** and compare the count with what the system says should be there. The difference is where waste, theft and wrong recipes show.
- **Record wastage** when it happens, with a reason, so that it is not a surprise at the count.
- **Look at the cost of each dish** against its price, and decide what to change.

## Tax receipts and eTIMS

A receipt is also a tax record. The Kenya Revenue Authority (KRA) runs its tax invoicing through an electronic system called eTIMS. KRA's own page on eTIMS says that all persons engaged in business are required to sign up to it and issue electronic tax invoices, and that KRA offers the eTIMS software free of charge, with its online portal and client software. A POS that connects to eTIMS saves entering every receipt twice.

- Ask your accountant which invoicing rules apply to your business.
- **Ask how the integration works.** KRA's page describes two ways for an invoicing system to connect to eTIMS, called VSCU and OSCU: the first for businesses with many transactions, the second for those using an online invoicing system. Ask which one the vendor uses and whether KRA has approved it as an integrator. KRA says a business that partners with an approved integrator may incur costs, so ask what the vendor charges.
- Ask the vendor to show a receipt going through the system, from the till to the authority, with your own details on it.
- Ask what happens to receipts made while the internet is down, and how they are sent afterwards.
- Ask how the system keeps up when the rules change, and whether that is in the price.
- **Keep your suppliers' invoices.** KRA's page says a business claiming deductions for business expenses must support them with valid electronic tax invoices, so the ones your suppliers give you matter as well.
- **The tourism levy:** the Tourism Fund's page says the levy is collected from all regulated hotels, restaurants and any regulated tourism activities. Ask your accountant whether it applies to you, and ask the vendor to show a report of the sales it is worked out on.

> **Rules change** Tax rules are the authority's to set and they change. A POS that calls itself eTIMS compliant is making a claim, and a brochure is not a source: ask for the receipt, and check with your accountant or the authority.

## When the internet or the power fails

A restaurant cannot stop taking orders because the internet is down on a Friday night.

- Ask exactly what still works with no connection: taking orders, printing to the kitchen, taking payment and closing a bill.
- Ask how what was done offline is sent afterwards, and whether a clash is shown to a person.
- Ask how M-Pesa payments are confirmed when the connection is slow.
- If the system runs in the cloud, ask where, and how often it is backed up. If it runs on a machine in your restaurant, ask who looks after it and what happens if the machine fails.

## Control: voids, discounts and cash

Money can be lost at the till in ordinary ways. A good system makes them visible.

- Who can void a printed bill, and does a manager have to approve it?
- Who can give a discount, how large, and is the reason recorded?
- Can a waiter see another waiter's bills, or take money to a till that is not theirs?
- Is there a cash-up at the end of each shift, with the difference shown?
- Can you see voids, discounts and cancelled orders by person, by hour and by day?

## Online orders and delivery

Orders from your own page and from delivery services should arrive where the kitchen already looks.

- Do online orders land on the same screen or printer as the ones taken at the table?
- Can a guest pay for an order online by M-Pesa, and does it match to the order?
- Who sets the prices and the opening hours for online orders, and do they follow the menu?

## Moving over without a bad night

Start in the quiet part of the week and have the old way to fall back on.

### Step 1: Enter the menu and prices

Every item, its changes and its price, checked by the person who knows the menu best.

### Step 2: Draw the tables and set the stations

Where each ticket prints or shows: the kitchen, the bar, the pass.

### Step 3: Set up the people

A role for each person, and who may void, discount and close.

### Step 4: Load the opening stock

Count it, then enter it, so that the first count is not a surprise.

### Step 5: Practise each role

Waiters, cashier, kitchen and manager each practise with the menu before the first guest.

### Step 6: Start on a quiet day

Keep the old way ready for the first few services.

## What it will cost

Compare vendors on the same list.

**What to ask about cost**

| Cost | What to ask |
|---|---|
| Licence | Is it charged by outlet, by till, by user or by month? What changes when you open a second outlet? |
| Hardware | Which tablets, tills, printers and card machines does it need, and can it use what you have? |
| Set-up | Who enters the menu, the recipes and the stock, and is it included? |
| Payments | Whose are the M-Pesa and card charges, and are they marked up? |
| Support | Who answers on a Saturday night, and how fast? |
| Leaving | Can you export your menu, your sales and your stock, and does it cost anything? |

> **A low monthly price is not the cost** Add the hardware, the set-up, the payment charges and the support, and compare the total over three years, in writing.

## Red flags in a demo

You can learn most of it in the first hour.

- The demo uses its own menu and never yours.
- A waiter has to look away from the guest for long to take an order.
- Voids and discounts leave no trace, or need no approval.
- It cannot say what works when the internet is down.
- Stock needs a spreadsheet beside it.
- The receipt cannot be shown going through to the authority.
- They cannot give you the name of a restaurant of your size that uses it.

## Questions people ask

### What is a restaurant POS system?

A restaurant POS (point of sale) system is the till and order system a restaurant uses to take orders, send them to the kitchen, take payments, print receipts and report on sales. A management system also tracks stock, recipes, staff and several outlets.

### What is the best POS system for restaurants in Kenya?

There is no single best. The right system is the one that suits your kind of business, takes M-Pesa and cards, keeps working when the internet drops, issues the receipts your tax advice requires and lets you leave with your data. Test each on your own menu.

### Can a restaurant POS take M-Pesa?

Yes. A system can receive paybill or till payments and send an STK push to a guest's phone, and match each payment to the right bill. Ask the vendor to show a real payment closing a bill.

### Does a restaurant POS work without internet?

Some systems do and some do not. Ask exactly what still works offline, such as taking orders, printing to the kitchen and closing a bill, and how what was done is sent afterwards.

### What is a kitchen display system?

A kitchen display system, or KDS, is a screen in the kitchen or at the bar that shows orders as they arrive, with times and statuses, in place of paper tickets. Cooks mark a dish ready and the waiter is told.

### Can a POS manage restaurant inventory and recipe costing?

Yes, if the recipes are right. It takes ingredients off the stock as dishes sell and shows the cost of each dish. It only works when the recipes and the counts are kept honest, so start with the dishes that sell most.

### Does a restaurant POS need to connect to KRA eTIMS?

KRA's page on eTIMS says that all persons engaged in business are required to sign up to it and issue electronic tax invoices, so a restaurant needs a way to do that. A POS that connects to eTIMS saves entering receipts twice. Ask your accountant which rules apply, and ask the vendor to show a receipt going through.

### How much does restaurant POS software cost in Kenya?

There is no standard price. Vendors charge by outlet, till, user or month, then add hardware, set-up, payment charges and support. Compare the total over three years in writing, with a list of what is not included.
